WhatsApp Business app vs WhatsApp Business Platform: which do you need?

These are two different products with confusingly similar names, and picking the wrong one costs you either money or months. The short version: the app is a better inbox for one person, the Platform is infrastructure for a business.

The WhatsApp Business app

Free, installs on a phone, and gives you a business profile, a catalogue, labels, quick replies and away messages. If one person handles every customer and the volume is manageable, this is genuinely all you need.

Its limits are structural, not a matter of effort. It runs on a device. Automation stops at canned replies. There is no way to connect it to your policy documents, your stock, or your payment provider. When the person holding the phone is asleep or on leave, the business is closed.

The WhatsApp Business Platform

An API rather than an app. There is no phone holding the number. Software receives every message and can answer from your own data, run a guided flow, generate a payment link, or hand the conversation to a person.

It also opens the number to your team properly. Several staff can work the same thread, permissions can differ by role, and every action can be recorded.

The trade-off is that you do not use it directly. You need something built on top of it, and Meta charges for conversations.

How to tell which side of the line you are on

Move to the Platform when any of these is true: more than one person needs to answer the same number; you are answering the same handful of questions dozens of times a day; you want customers to pay without leaving the chat; or you need a record of who did what.

Stay on the app when a single person can comfortably keep up and every conversation is genuinely bespoke. Paying for infrastructure you are not using is not a strategy.
